Fairhaven Baptist Church operates this Building Management System (BMS) to manage facility maintenance requests for our campus. This policy describes how we collect, use, and protect information submitted through this system.

Information We Collect

When you submit a maintenance request through the guest ticket form or the BMS app, we may collect:

• Your name, email address, and phone number (all optional)
• A description of the maintenance issue and its location
• Your IP address (collected automatically to prevent abuse)

If you sign in to the BMS app, your phone number is used to verify your identity through AWS Cognito. We do not store passwords.

How We Use Your Information

Information you provide is used solely to:

• Process and route your maintenance request to the appropriate staff
• Send you a confirmation email and status updates (if you provided an email address)
• Allow facility staff to follow up with you if needed
• Prevent spam and abuse of the ticketing system

We do not sell, share, or use your information for marketing purposes.

Data Retention

Maintenance ticket records, including any contact information you provided, are retained for operational and historical purposes by Fairhaven Baptist Church facility staff. Records may be reviewed to track recurring issues or for audit purposes.

Data Security

This system is hosted on Amazon Web Services (AWS) infrastructure in the United States. Access to ticket data is restricted to authorized Fairhaven Baptist Church staff. All data is transmitted over HTTPS.
